Member Policies
Class Cancellations & No Shows
Our cancellation policy helps prevent reserved class spots from going unused and allows other members the opportunity to attend.
Cancel without penalty: Up to 12 hours before class start — via the Push Press app, the Ascent website, or by calling during business hours. Cancellations via email, Instagram, or social media are not accepted.
Late cancellation: Reservations canceled less than 12 hours before class start time will result in the loss of a class credit. Members on unlimited plans may be charged a $20 late cancellation fee.
We know life happens. If you’re sick or dealing with an unexpected circumstance, please contact us. We can review late cancellation fees and waivers on a case-by-case basis.
No-show: If you don’t cancel and don’t attend, your class credit is forfeited, unlimited members will be charged a $20 fee.
Waitlist: You’re automatically added when a spot opens. If you’re moved in after the 12-hour cancellation window, you have a 2-hour grace period to cancel. You’re responsible for managing your own waitlist bookings.
Double bookings: You are responsible for canceling any accidental or duplicate bookings. Staff cannot manage bookings on your behalf, and late-cancel policies apply to all confirmed spots.
Class Credits
2x/Week plan: 2 class credits per week. Credits reset each Sunday and do not roll over.
8 Classes/Month: 8 class credits per month. Credits reset on your monthly billing date and do not roll over.
4 Classes/Month: 4 class credits per month. Credits reset on your monthly billing date and do not roll over.
Punch card: 5 drop-in class credits with no expiration. Punch card holders are not included in standard member benefits (open gym access, community events, retail perks).
Appointment Policies
Session credits: PT credits are issued each billing period per your plan. Unused credits expire after 30 days.
Cancel or reschedule: Provide at least 48 hours’ notice to reschedule without penalty — via the Push Press app or by contacting the team during business hours.
Late cancellation: Under 48 hours’ notice — you can reschedule for a $45 fee, or a session credit is deducted with no additional charge.
No-show: Session credit is deducted. Repeated no-shows may result in losing your recurring appointment slot.
Make-up sessions: With appropriate notice, you can reschedule with your coach or another qualified coach, or request an alternative (custom plan, virtual session, or group class credit) within the billing period.
Travel & time away: Let your coach know in advance. Provide at least 72 hours’ notice to reschedule or receive a modified plan. To pause billing, follow the hold policy above.
Coach cancellation: If your coach can’t hold a session, we’ll reschedule. If we can’t arrange a qualified coach within the billing period, a makeup session will be issued.
Coach response times: Coaches aim to respond within 24 hours during their workweek. Weekends and holidays may be slower. Mark urgent messages accordingly.
Membership Management
Cancel your membership: Submit written notice via our cancellation form at least 12 business days before your next billing date. Cancellation takes effect the following billing date. Any outstanding balance must be paid in full before cancellation is processed.
Change your plan: Submit a request at least 5 business days before your next billing date via the change form or by emailing move@ascent.fit. You’ll be billed or credited the prorated difference automatically.
Put your membership on hold: Submit a hold request at least 12 business days before the hold start date. Holds are available in 2-week increments, up to 3 months per year. You won’t be billed during the hold period. Billing resumes automatically at the end of the hold.
Medical hold: The 12-business-day notice requirement is waived for unplanned medical events. Contact us as soon as possible.
Special exceptions: Your membership may be canceled without penalty in the event of death or disability, or if you relocate more than 25 miles from Ascent (proof of new residence required).
Billing
Payment schedule: Dues are paid in advance starting the day your membership activates. Subsequent payments are billed biweekly (every 2 weeks) or monthly depending on your plan, via automatic debit.
Declined payment: You’ll have a 5-day grace period to update your payment info. After the grace period, your account is suspended and booked classes may be removed. Bank fees from declined transactions are not the responsibility of Ascent Fitness.
Switch to ACH: Switch to direct bank (ACH) billing before and receive a $5 credit on your next bill. Reply to your membership email or contact us to update your payment method. Non Sufficient Fund (NSF) Fee: Any NSF fees charged to us will be passed through to you. Keep a credit card on file to prevent multiple attempts and possible multiple NSF fees.
Your responsibility: It’s your responsibility to keep payment information current. Ascent Fitness is not liable for processing errors from expired or inaccurate card information.
Open Gym
Access & check-in: Available to all active members during designated hours. Check in via the app or with a staff member before using the space.
Self-directed: Open gym is largely self-directed. A coach or staff member may be present for general supervision, but individualized coaching is not included.
Weights & equipment: Do not drop weights — lower them safely after every lift. Return all equipment to its designated spot after use. Improper use may result in restricted open gym access.
Cleanliness: Wipe down all equipment after use. Keep the space tidy for the next member.
Courtesy: Share equipment and space respectfully. Use headphones for personal audio.
Guests: Guests are not permitted during open gym. Active members only.
Hours: Subject to change — check the app or website for current hours.
